Steps to connect your Hubspot CRM to Plezi to streamline your contact information and get the API key easily!

Getting the API key

The aim is to complete the field located on the API/CRM HubSpot configuration tab.

Go to your HubSpot account, click on your profile icon and then on “Integration”, and finally on the left-hand menu “API key”. Click “Display the key”, then copy the key.

Once you have completed this step you can copy and paste the key into the API field in Plezi and click on “Update your configuration"

Synchronisation steps

Fields that you must create in HubSpot:

  • plezi_url (“text-type field").

This allows your sales rep to go directly to the contact’s Plezi record Mapping for this field is automatic.

  • plezi_source (“text”-type field).

This corresponds to the source of a contact in Plezi. Mapping for this field is also automatic. 

  • sync_to_plezi (“single box to tick”-type field). 

This field concerns contacts whose HubSpot property “lifecycle stage” has the following values:"Lead qualified by the sales team", "Opportunity", "Client", “Evangelist", "Other". By default, Plezi does not import them. You can modify this behaviour using this field. How you do this is described below, in the section “Please note”.

Special Plezi fields to create in HubSpot if you want to send this information (unidirectional):

  • score (“integer”-type field).

This is the score of the lead calculated in Plezi (0 to 50) => it’s called the “behaviour_score” in Plezi Mapping for this field is activated according to the same conditions as for the fields ‘plezi_url’. 

  • status (“text”-type field).

This corresponds to the status of the lead identified in Plezi (Closed, Accepted, Engaged etc.) => this is called “state” in Plezi Mapping for this field is activated according to the same conditions as for the fields ‘plezi_url’.

Please note: 

In HubSpot, you have eight options to qualify the “Lifecycle stage” of your contact:

  • Subscriber

  • Lead

  • Marketing Qualified Lead

  • Sales Qualified Lead

  • Opportunity

  • Customer

  • Evangelist

  • Other

The first three (subscriber, lead and marketing qualified lead) are considered by Plezi to be leads. By default, leads are concerned by bi-directional updates.

The others (SQL, Opportunity, Customer etc.) are considered by Plezi as contacts. By default, no updates will be conducted in both directions.

In fact, when in comes to these lifecycle stages, these contacts belong to your sales reps and a change in Plezi risks undoing all their precious qualification work.

Nevertheless, you can decide to continue to update these contacts from HubSport to Plezi. To do this you need to go to the CRM configuration page and tick the box “Your CRM’s contacts”.

You can filter the contacts that your want to update in Plezi by ticking the box “Filter your CRM’s contacts”. As mentioned above, to do this you need to add the field sync_to_plezi in HubSpot and fill in the positive value for contacts that you want to update. They will be the only contacts updated in Plezi.

> The mandatory Plezi fields appear in the mapping page but are disabled. You don’t have to touch these and can leave them disabled.

> You can put non-mandatory, special Plezi fields (score, status) in the Plezi --> direction only, to send this data to your CRM.

> The score field must be mapped with the Plezi fieldbehaviour_score and the status field with the Plezi field state.

Everything is now in place and all you have to do is start synchronising! 

Tips and Tricks

You can add and synchronise new fields when you want to. Create equivalences in both tools and return to mapping: the new field will appear in the last position;

Automatic synchronisation takes places every two hours as well as each time a form is submitted. It takes into account changes to contacts and the creation of new contacts;

If you change a setting (add a field, change a direction etc.) you need to launch a manual synchronisation to update the information;

Function field: if it’s a free field in your CRM, only use it in one direction (Plezi > HubSpot CRM), otherwise all the existing functions in your CRM will load in Plezi...and mess it up!

The drop-down and multiple-choice lists must carry exactly the same values in HubSpot CRM as in Plezi.
